When Do I Expire (“we,” “our,” or “us”) operates the When Do I Expire mobile application and related services (the “App”). This Privacy Policy describes how we collect, use, and disclose information when you use our App, and applies to users in all regions, including those who download the App from the Apple App Store or Google Play Store.
1. Information We Collect
We collect information you provide and information generated by your use of the App.
- Account information. When you create an account, we collect your email address and any other information you provide (e.g., display name). Authentication may be provided by third-party services (e.g., email/password or OAuth) and we receive the identifiers necessary to manage your account.
- Certification and profession data. You voluntarily enter information about your professions, certifications, issue and expiration dates, renewal reminders, and related notes. This data is stored to provide the core functionality of the App.
- Documents and photos. If you choose to upload certification documents or photos, we store and process these files to display them within the App and to support your use of the service.
- Device and usage data. We may collect device type, operating system, app version, and general usage information (e.g., feature use) to operate the App, fix errors, and improve our services. We do not track your precise location.
- Payment and subscription data. Purchases and subscriptions are processed by Apple (App Store) or Google (Google Play). We do not collect or store your payment card details. We may receive transaction or subscription status information (e.g., that you have an active subscription) to provide access to paid features.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the App and its features;
- Authenticate your account and manage your profile;
- Store and display your certifications, documents, and reminders;
- Send you service-related communications (e.g., account or security notices);
- Process and honor your subscription and access to paid features;
- Comply with applicable law and respond to lawful requests;
- Detect and prevent fraud, abuse, or security issues; and
- Analyze usage in an aggregated, non-personally-identifying way to improve the App.
We do not sell your personal information to third parties.
3. Data Sharing and Third Parties
We may share or allow access to your information only as follows:
- Service providers. We use third-party services to operate the App (e.g., hosting, authentication, database, and storage). These providers process data on our behalf under contractual obligations to protect your data and use it only as we instruct.
- Apple and Google. If you purchase a subscription or make in-app purchases, Apple or Google processes the transaction. Their respective privacy policies apply to that processing. We receive only the information necessary to grant you access to paid features.
- Legal and safety. We may disclose information if required by law, court order, or government request, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
4. Data Retention
We retain your account and certification data for as long as your account is active. If you delete your account, we will delete or anonymize your personal data within a reasonable period, except where we must retain it for legal, security, or legitimate business purposes.
5. Your Rights and Choices
Depending on your region, you may have the right to:
- Access the personal data we hold about you;
- Correct or update inaccurate data (you can also update much of this in the App);
- Delete your data or request account deletion;
- Export your data in a portable format where required by law;
- Object to or restrict certain processing where applicable; and
- Withdraw consent where we rely on consent for processing.

6. Children’s Privacy
The App is not directed to children under 13 (or the applicable age in your jurisdiction). We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us and we will delete it.
7. Security
We use industry-standard measures to protect your data, including encryption in transit and at rest where applicable, access controls, and secure infrastructure. No method of transmission or storage is 100% secure; we encourage you to use a strong password and keep your account credentials safe.
8. International Transfers
Your data may be processed in the United States or other countries where our service providers operate. We take steps to ensure your data receives an adequate level of protection in line with applicable law (e.g., standard contractual clauses where required).
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy in the App and on our website and will indicate the “Last updated” date. For material changes, we may provide additional notice (e.g., in the App or by email). Continued use of the App after changes constitutes acceptance of the updated policy.
